We are currently looking to hire part-time and full-time virtual staff who can contribute to our clients’ success.

Key Responsibilities:

  • Assist in preparing and updating training materials for staff members.
  • Collaborate with the practice manager to evaluate staff performance and suggest improvement strategies.
  • Monitor and analyze the performance of various services offered, assessing their revenue contributions.
  • Work with the practice manager and other doctors to compare performance metrics with other Medspas and identify areas for improvement.
  • Develop and implement strategies to increase overall revenue.
  • Manage and optimize marketing efforts to ensure maximum reach and engagement.
  • Coordinate with front staff to gather patient feedback and enhance marketing strategies.
  • Monitor website performance and suggest enhancements.
  • Assist in developing a mobile app for the practice.
  • Oversee the online shop, including product selection and inventory management.
  • Research and source private-label supplements to expand the product line.
  • Analyze sales data to identify underperforming items and recommend improvements.
  • Optimize the shopping cart experience on the website.
  • Coordinate with web developers for website maintenance and updates.
  • Track patient visit metrics and analyze trends.
  • Assist with recruitment efforts by posting job listings and screening candidates on platforms like Indeed.
  • Communicate with vendors and pharmacies to source supplies for IV therapy.
  • Collaborate with front staff to ensure smooth patient flow and address any operational challenges.
  • Assist in writing and publishing a book, including coordination with Amazon.
  • Help create and manage content for a YouTube channel focused on hormone education.
  • Develop and market an online educational program on hormones.
  • Review and identify discrepancies in credit card charges.
  • Book travel arrangements and conduct vacation research.
  • Schedule appointments for physicians.
  • Coordinate and streamline various projects, ensuring effective communication among all team members.
  • Edit and post content across various platforms as needed.
  • Monitor budgets, track expenditures, and assist in financial planning.
  • Prepare and manage expense reports, ensuring timely reimbursements and accurate financial records.
  • Draft, review, and manage communications on your behalf, ensuring timely responses and a professional tone.
  • Serve as the primary point of contact for clients and vendors, fostering strong professional relationships.
  • Arrange meetings, conferences, and events, including logistics, agendas, and follow-ups.
  • Attend meetings to record minutes, ensuring accurate documentation of discussions and decisions.
  • Develop and maintain an organized filing system for both digital and physical documents.
  • Manage databases, perform data entry tasks, and analyze information to support decision-making processes.
  • Monitor and order office supplies, ensuring the workspace is well-equipped and organized.
  • Develop and enforce office procedures and policies to enhance operational efficiency.
  • Assist with personal tasks such as scheduling personal appointments and managing personal correspondence.
  • Handle sensitive information with discretion, maintaining confidentiality in all personal and professional matters.

Required Skills & Qualifications:

  • Strong business background with excellent organizational skills.
  • Comfortable working with AI and other technological tools to optimize processes.
  • Exceptional communication skills, both written and verbal.
  • Highly skilled in project management, time management, and multitasking.
  • Detail-oriented, proactive, and able to work independently.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Strong knowledge of the Medspa industry is a plus but not required.
