Between a signed contract and a settled sale sit conditions, dates and other people's solicitors. Real estate sales support drives that middle — preparing the contract pack, tracking the deposit, diarising finance and building and pest dates, and chasing every party until the file goes unconditional.

Builds the contract in Realworks, Forms Live or the agency's platform with the price, deposit, settlement date and special conditions the agent has been instructed on, attaches the required disclosure documents, and sends it for signature — never advising either party on the terms.

Track the deposit

Confirms the initial and balance deposits have been received by the contract due date, sends the trust receipt details to the purchaser's solicitor, and notifies the trust accountant of the amount and property so it is receipted into the sales trust ledger.

Diarise the condition dates

Puts finance approval, building and pest, cooling-off expiry and settlement into the sales diary the moment the contract is dated, taken from the contract's own dates, with reminders set far enough ahead that the agent can act before a date passes.

Chase finance and inspection outcomes

Follows the purchaser's broker and solicitor for finance approval, books building and pest access with the vendor or tenant, and reports the outcome to the agent — including where an extension request or a request to remedy defects is coming.

Move files to unconditional

Confirms every condition has been satisfied in writing, records the unconditional date on the contract file, notifies both solicitors and the agent, and updates the CRM and portal status so the listing changes from under offer to sold.

Run the settlement diary

Tracks settlement dates across every live contract, chases the solicitors for confirmation in the week beforehand, arranges key handover with the vendor and the incoming purchaser, and closes the file once settlement is confirmed effected.

Prepare commission invoices

Drafts the agency's commission invoice from the executed contract's fee and marketing recovery figures, sends it to the vendor's solicitor ahead of settlement, and passes it to the trust accountant so commission is drawn correctly on the settlement day.

Follow up buyers after inspections

Works the open home and private inspection lists within a day, asks each buyer for feedback on price and property, records their position in the CRM, and passes serious buyers to the agent with a note on what would move them to an offer.

Manage multiple offers

Records each offer with price, deposit, conditions and settlement terms in a comparison table for the agent to take to the vendor, keeps every buyer informed of the process, and issues the contract to whichever offer the vendor instructs the agent to accept.

Keep vendors updated between calls

Sends the vendor the week's enquiry counts, inspection attendance and buyer feedback using only what the agent has approved, so the agent's call becomes a conversation about strategy rather than a recital of numbers the vendor has not seen.

Maintain the sales file

How fast can they start?
