Proposal assembly and formatting

Draws the methodology, governance and past-project sections from the firm's content library, maps each response back to the evaluation criteria and word limits, rebuilds it in the client's mandated template, and version-controls the file so one document goes out.

CV and capability library

Keeps consultant CVs current in both the firm's format and the client's schedule format: qualifications, certifications and their expiry, project experience written to the criteria being evaluated, referee contacts checked, and photographs consistent across the team.

CRM and pipeline hygiene

Logs meetings and calls into HubSpot, Salesforce or Pipedrive from the calendar and inbox, opens deals when proposals go out, chases owners on stale stages and close dates, merges duplicate contacts, and produces the weekly pipeline report.

Project setup and tracking

Sets the engagement up in the firm's project tool, loads milestones and deliverables straight from the signed scope, chases task owners before the due date, maintains the risk and issues log, and keeps the client action register moving between meetings.

Timesheet chasing and WIP

Chases unsubmitted timesheets weekly, corrects time coded to the wrong job or phase, runs the work-in-progress report, flags every engagement tracking past its fee cap, and prepares the write-on and write-off schedule for the partner to decide.

Invoicing and supplier portals

Builds draft invoices from WIP against the fee schedule and milestone, matches each to the client's purchase order number, then lodges through Coupa, Ariba or the client's own portal and re-works the ones that come back rejected on a coding mismatch.

Aged debtor follow-up

Runs aged receivables out of Xero or MYOB, sends the reminder sequence on the firm's schedule, chases remittance advices, reconciles part payments and short payments to the invoice, and escalates to the engagement lead with the history attached.

Engagement letters and contract register

Prepares engagement letters and statements of work from the firm's template, routes them for signature, files the executed copy, and keeps the contract register: fee caps, agreed rates, variation history, insurance requirements and the expiry date that needs a conversation before it arrives.

Subcontractor onboarding and invoices

Collects ABN, signed subcontractor agreement, public liability and professional indemnity certificates, checks the limits against what the head contract requires, diarises the renewal of each certificate, and processes subcontractor invoices against approved rates.

Diary, travel and expenses

Runs the calendar across time zones, books flights, accommodation and car hire to the firm's travel policy, builds the meeting pack the day before, captures actions afterwards, and reconciles corporate card statements against receipts each month.

Desktop research and source packs

Pulls ABS releases, IBISWorld reports, ASIC company extracts, annual reports, regulator publications and competitor material into a summary where every figure carries its source, date and page, so the consultant can check it before it reaches a client.

Monthly reporting packs

Assembles the client or board pack: pulls numbers from the finance and project systems, charts them to the firm's template, drafts the commentary against last month's, circulates for comment and produces the final version to the deadline.

File structure and knowledge base

Holds the SharePoint or Teams structure and naming convention together, files documents where the next person will find them, archives closed engagements to the retention schedule, and keeps templates and the precedent library at the current version.

Frequently asked

We're a small consultancy — is one VA enough?
Usually yes, and usually more than expected. In professional services the drag isn't one big function, it's fifty small ones: proposal formatting, CRM hygiene, invoice preparation and debtor chasing, calendar and travel, research and deck assembly, meeting notes and follow-up actions, LinkedIn and content scheduling. One capable person owning all of that reliably tends to free a director day a week — which is billable time you're currently spending on admin.
How do we protect client confidentiality on sensitive engagements?
NDA and confidentiality clause before day one, work performed inside your systems as a named user, and access scoped to the engagements they actually support. Where a client contract prohibits offshore involvement, ring-fence those matters — tell us and we'll brief the team member accordingly. Most firms find the arrangement no more sensitive than using a remote contractor onshore, but the discipline should be the same either way.
How much does it cost?

How fast can we start?
Typically 14 days from your discovery call to day one. In the first week we source and screen against your brief; you get three matched profiles and interview whoever you like. Once you choose, we handle the offer, the contract, equipment and connectivity checks, and induct them on our side before they reach you. Specialist roles — developers, NDIS claims, anything needing niche software — can take a week longer, because we won't pad a shortlist just to hit a date.
What if it's not the right fit?
You're covered twice over. If it's clearly wrong by day five, your first week is refunded in full. After that, a free replacement any time — new shortlist, new interviews, no second fee, because there was never a first one. Before it gets that far, talk to us: our HR manager will work through it with you and the team member, since most problems turn out to be an unclear process rather than the wrong person, and a fortnight of coaching usually fixes it. Replacing someone is the last resort, not the first move.
Is there a minimum term?
Three months, then month to month. It's the same runway you'd give a new local hire to learn your systems, your clients and your standards — and the team members who get a fair run are the ones who stay for years. There are no exit penalties at any point, and if the issue is the person rather than the role, the first-week refund and free replacement cover that separately.
How do you handle confidentiality?
The same way you'd treat any remote team member. Every placement signs an NDA and a confidentiality clause before day one, and they work inside your systems — your email, your CRM, your file storage — so you control what they can see and can revoke access instantly.
