If someone offers to do your PRODA claims, ask when they last checked

PRODA is no longer how NDIS providers reach the portal, and the phrase is now a useful test of whether a supplier is current.

  • PRODA ended for NDIS on 10 November 2025The NDIA replaced it with myID and Relationship Authorisation Manager. PRODA still works for other government services — it is only the NDIS pathway that closed.NDIA, Strengthening provider access to NDIS systems, 8 August 2025
  • The Commission portal is on its own clockThe NDIS Quality and Safeguards Commission runs a separate transition, and PRODA still works there until 30 September 2026. The two deadlines are often merged and should not be.NDIS Commission, Changing from PRODA to myID and RAM
  • Portal access needs an Australian-verified identitymyID Standard strength requires two verifiable documents and every one of them is Australian-issued. That is a documents test rather than a nationality test — and it is why portal submission stays with your people, wherever your admin support sits.myID, Verifying your ID in myID
  • Portal data stays in AustraliaThe provider portal terms do not permit portal-derived data being accessed, transferred or stored outside Australia without the NDIA’s written approval. Our team works in your own systems, never the portal.myplace and my NDIS provider portal Terms and Conditions, clause 3.4

The admin behind your supports is eating the week

If you deliver NDIS supports, you already know the cruel maths of the sector: you only get paid for the supports you deliver, but every support comes wrapped in hours that draw down nothing. Service agreements, NDIS claims, PACE service bookings, progress notes, rostering, audit evidence — the paperwork keeps growing, and every hour on a form is an hour not spent on participant outcomes.

Claiming is fiddly and unforgiving. A wrong line item, an expired plan, or a service booking that was never made, and the claim bounces, the cash is late, and you are the one chasing it. Hiring that capacity locally is expensive and slow.

An NDIS virtual assistant exists to take that wrapper off your plate. Ours are remote professionals trained in the scheme — they understand Core, Capital and Capacity Building supports, the NDIS Pricing Arrangements, the myplace provider portal and the NDIS Practice Standards — so the work gets done correctly the first time, on your systems, for a fraction of a local salary.

Questions

NDIS virtual assistants, answered

What is an NDIS virtual assistant?
A remote professional trained in the National Disability Insurance Scheme who handles the non-billable admin behind your supports — service agreements, PACE claims, participant notes, service bookings, rostering and audit evidence — so your onshore team stays on participant-facing work.
Do they understand NDIS rules and the Practice Standards?
Yes. We recruit assistants trained in the NDIS framework — they understand Core, Capital and Capacity Building supports, the NDIS Pricing Arrangements, the myplace provider portal, the PACE system and the NDIS Practice Standards, so tasks are done correctly the first time rather than guessed at.
How much does an NDIS virtual assistant cost?
From $14 per hour plus GST for a dedicated, full-time team member — on average 70% less than an equivalent local admin hire, with no recruitment fee, superannuation, leave loading or office overhead. Run your numbers →
How do they access the portal and our systems securely?
Your assistant works only in the systems you grant access to, using your access controls, with no participant data stored on personal devices. They are bound by confidentiality as part of their engagement with us, and you remain responsible for — and in control of — your NDIS privacy and records obligations. Many providers start a new assistant on scheduling and claims, then widen access as trust builds.
Can they do NDIS bookkeeping and claiming?
Yes — claiming and reconciliation are core to the role, and our NDIS bookkeeper handles audit-ready books in Xero or MYOB. For clinical or plan-management judgement calls, the assistant prepares the work and flags it for you to approve rather than making the call themselves.
