What a Real Estate Marketing Coordinator does

Great marketing sells listings faster. A real estate marketing coordinator produces and coordinates listing campaigns across portals, social and print.

Every StaffingSolutions.io real estate marketing coordinator is recruited, hired and managed by us — reference-checked for your tools, working your business hours, and backed by our zero-risk promise: no placement fee, money-back first week, and a free replacement if the fit isn't right.

What they handle

  • Listing marketing — copy and visuals.
  • Portal uploads — accurate and fast.
  • Social campaigns — scheduled.
  • Brochures & signboards — coordinated.
  • Agent branding — consistent.
  • Reporting — campaign performance.
The actual work

A week in the role

A real estate marketing coordinator produces campaigns. From the moment an agency agreement is signed they book the photographer, order the signboard, draft the copy, place the portal upgrades and build the social and print collateral — then track every vendor-paid dollar back against the invoice.

The taskWhat that actually involves
Order the campaign

Raises the campaign in Campaigntrack or Realhub against the signed marketing schedule, books photography, floorplan, copywriting, signboard, brochures and portal upgrades, and confirms shoot access with the vendor or, in a tenanted property, inside the required entry notice period.

Draft listing copy

Writes the headline and body copy from the agent's notes and the photographer's images, in the agency's voice, trimmed to portal character limits and free of claims the agent cannot support, then sends it to the agent and vendor for approval before publication.

Book portal upgrades

Places Premiere, Highlight or Platinum products on realestate.com.au and the equivalent Domain upgrades against the vendor's approved budget, schedules feature and refresh timing across the campaign weeks, and checks the listing is displaying with the upgrade actually applied.

Build social and digital assets

Produces just listed, open home, price adjustment and just sold tiles and reels in Canva from the agency's brand templates, sized for Instagram, Facebook and LinkedIn, and schedules them to the agent's and agency's accounts against the campaign calendar.

Run listing EDMs

Builds new listing, open home reminder and sold announcement emails in ActivePipe or the agency's email platform, segments the send to buyers matched on price range and suburb, and reports opens and enquiry back to the agent for follow-up.

Prepare price disclosure material

Assembles the Statement of Information for Victorian campaigns, or the price guide material the relevant state requires, using the indicative selling price and comparable sales the agent has determined — for the agent to check and sign before it is published.

Manage signboards and print

Orders photo and lease boards in the right dimensions for the site, arranges installation and removal dates with the signage contractor, and orders window cards, brochures and DL just-listed cards for the letterbox drop around the property.

Coordinate video and media

Briefs the videographer or edits walkthrough footage, orders virtual staging, day-to-dusk conversions and item removal through BoxBrownie, and delivers finished assets into the listing and the social calendar to hit the campaign launch date.

Reconcile vendor paid advertising

Checks each supplier invoice against what the vendor actually approved on the marketing schedule, queries anything ordered outside it with the agent, and passes the reconciled campaign cost to the trust accountant so it is recovered correctly at settlement.

Report campaign performance

Pulls views, saves, enquiry and inspection numbers from the REA and Domain agent dashboards and the social accounts, and builds the marketing section of the weekly vendor report so price and strategy conversations rest on the campaign's real numbers.

Keep the agency brand consistent

Maintains the Canva template set, image library, photographer style guide and copy conventions, and checks agent personal marketing against the franchise brand standards before anything is printed, installed or published.

Run the sold follow-through

Produces the sold sticker artwork, sold social posts and the just sold card for the surrounding streets, and updates the agency website and agent profile results so a finished campaign keeps working as prospecting material.

Questions

Frequently asked

How much does a real estate marketing coordinator cost?
From $14/hr + GST for a full-time, dedicated team member — roughly $29K a year against $95K–$115K all-in for the local equivalent once you add super, leave, payroll tax, software and a desk. No placement fee, no setup fee, no recruitment retainer: you pay from the day they start, for hours worked, and interviewing candidates costs nothing. Specialist roles sit a little higher. Run your numbers →
How fast can they start?
Typically 14 days from your discovery call to day one. In the first week we source and screen against your brief; you get three matched profiles and interview whoever you like. Once you choose, we handle the offer, the contract, equipment and connectivity checks, and induct them on our side before they reach you. Specialist roles — developers, NDIS claims, anything needing niche software — can take a week longer, because we won't pad a shortlist just to hit a date.
What if the fit isn't right?
You're covered twice over. If it's clearly wrong by day five, your first week is refunded in full. After that, a free replacement any time — new shortlist, new interviews, no second fee, because there was never a first one. Before it gets that far, talk to us: our HR manager will work through it with you and the team member, since most problems turn out to be an unclear process rather than the wrong person, and a fortnight of coaching usually fixes it. Replacing someone is the last resort, not the first move.
Is there a minimum term?
Three months, then month to month. It's the same runway you'd give a new local hire to learn your systems, your clients and your standards — and the team members who get a fair run are the ones who stay for years. There are no exit penalties at any point, and if the issue is the person rather than the role, the first-week refund and free replacement cover that separately.
How do you handle confidentiality?
The same way you'd treat any remote team member. Every placement signs an NDA and a confidentiality clause before day one, and they work inside your systems — your email, your CRM, your file storage — so you control what they can see and can revoke access instantly. No client data is stored on our side.
What stays with you, and what goes to them?
They take the recurring, process-driven part of the real Estate Marketing Coordinator role — the work that happens the same way every week and eats your day. Judgement calls, client relationships, anything requiring your licence, sign-off or authority stay with you. The clients who get the most out of a real Estate Marketing Coordinator hand over a defined process and keep the decisions, rather than handing over the whole function and hoping. On the discovery call we'll map which tasks fall on which side of that line before you commit to anything.
How do I hand the work over without losing weeks to training?
Record yourself doing the task once and talk through it as you go — a fifteen-minute screen recording beats a written manual every time, and your real Estate Marketing Coordinator will turn it into a documented process you both work from. Expect the first fortnight to be shadowing and checking, then steadily less. If you have nothing documented, that's normal and it's not a blocker: we'll help you decide what to record first, and your account manager checks in through the whole ramp-up.
