A week in the role
A recruitment admin keeps roles moving between the hiring manager's good intentions and an actual start date. Most of the week sits inside JobAdder or the client's ATS — writing ads, screening applications, running phone screens, booking interviews, chasing referees and ordering pre-employment checks. The hiring manager decides who gets hired.
Drafts the ad to SEEK's structure with the right classification, sub-classification, work type and location, publishes to SEEK, Indeed and LinkedIn from JobAdder, and refreshes or rewrites ads that stop pulling applications.
Works through applications in the ATS applying the knockout criteria agreed with the hiring manager — work rights, licence, tickets, location, salary band — moves candidates to shortlist, and sends regret emails to the rest promptly.
Builds boolean searches in SEEK Talent Search and LinkedIn Recruiter, saves matching profiles into the ATS, sends the approach message, and logs every response so the same candidate isn't approached twice.
Works the client's screening script — availability, notice period, salary expectation, work rights, licence, why they're looking — and writes it up on the candidate record in the ATS so the hiring manager reads one consistent format.
Reformats CVs into the client's branded template, writes a short summary against the selection criteria for each candidate, releases the shortlist through the JobAdder hiring manager portal and chases ratings and feedback.
Finds slots across panel calendars, books Teams or Zoom links, sends candidate confirmations with address, parking, interviewer names and what to bring, and reworks the whole schedule when someone reschedules.
Sets up requests in Xref or Referoo, chases referees who stall, follows up by phone where the client prefers a conversation, and attaches the completed report to the candidate record for the hiring manager to assess.
Orders National Police Checks, confirms work entitlements through VEVO with the candidate's written consent, and records Working with Children Check, NDIS screening and licence numbers with their expiry dates against the candidate file.
Maintains accurate statuses in JobAdder, closes filled and abandoned requisitions, re-engages silver medallists from earlier processes, and builds talent pools by role type so the next brief starts with a warm list.
Populates the offer letter and contract from the client's template with the agreed rate, classification and start date for the hiring manager to approve and issue, then tracks acceptance, start date and onboarding handover.
Answers applicant questions about the process and timing, keeps unsuccessful candidates informed rather than ghosted, and routes speculative applications into the right talent pool instead of letting them sit.
Pulls open roles, time in each stage, applications by source, interviews booked and offers out of JobAdder into the weekly hiring meeting pack, and flags roles that have stalled at the same stage.
