Captures dimensions, site access, existing equipment or system details, photos and any known constraints, so the estimator or technician isn't ringing the customer back to ask the basics before quoting.

Book the site visit

Slots the inspection or discovery call into ServiceM8, simPRO, Tradify or Calendly against the right person's availability and travel zone, then sends the confirmation SMS and the reminder the day before.

Draft quotes from the price book

Builds the quote in the client's system using their price book — line items, inclusions, exclusions, GST-inclusive totals and terms — and sends it to the client to check and issue, since pricing authority stays with them.

Run the quote follow-up cadence

Calls on day two, emails on day five, checks in once more before the quote lapses, and logs every attempt, connection and outcome against the deal in HubSpot or Pipedrive rather than relying on memory.

Record why quotes are lost

Captures the actual reason — price, timeframe, went with the incumbent, job deferred, scope changed — into a structured field on the deal, so the client can see the pattern instead of guessing at it.

Keep the pipeline honest

Stops deals sitting in "quote sent" for six weeks, closes lost opportunities with a reason attached, and makes sure every open deal has a next activity dated in the CRM before the day ends.

Cover the phone during trade hours

How fast can they start?
